Freight & Logistics #

GEL Events is the official freight forwarding partner for exhibition logistics. To ensure your freight arrives during the official move-in and move-out periods, book your services with GEL Events as soon as possible (for international exhibitors) or by 12 September 2025 (for domestic exhibitors).

If you use another transport company, you must have a representative onsite at delivery and complete the ICC loading dock booking form.

Shell Scheme & Furniture #

Harry the Hirer has been designated as the official contractor for shell scheme build, furniture, styling, signage, graphics, production equipment, and electrical services for IAC 2025. Orders for furniture, AV, lighting, and signage should be submitted through Harry the Hirer’s exhibitor ordering portal.

All stand upgrades and fascia signage must be confirmed with Harry the Hirer by 18 August 2025.

Custom Stands #

All custom stand documentation must be submitted by 18 August 2025.

Refer to the IAC25 Exhibitor Manual for detailed build specifications including flooring, rigging, safety, and tagging requirements.

There is a two-step approval process required for custom stands.

1. Upload via the exhibitor portal, link provided via email.

2. A custom stand plan permit form must also be completed and submitted to ICC Sydney via email to exhibitionservices@iccsydney.com. Please also copy sponex@iac2025.org when submitting permit form to ICC Sydney. Required documents include 3D drawings, material descriptions, location plans, and risk assessments.

All contractors and sub-contractors must complete an induction before moving in or out. For details, contact inductions@iccsydney.com.

Registration #

The person managing your exhibition booking (our point of contact) has been provided with a link to your company’s designated Group Allocation Portal. Access the portal and follow the step-by-step instructions provided.

All exhibitor badge allocations must be finalized by 8 September 2025.

Additional exhibitor badges are available exclusively to pavilion hosts at a rate of 500 euros, excluding GST. Standalone exhibitors are required to purchase full delegate registrations.

Exhibitor badges provide access to the exhibition hall during move-in, show days, and move-out. They do not grant access to technical sessions, plenaries, or networking forums.

Upon completion of your registration, you will receive a Registration Confirmation email, which serves as your supporting documentation for your visa application. Additionally, we provide the Australian Government with a list of registered attendees to facilitate visa processing.

Public Liability Insurance #

Yes, you must hold a current public liability insurance policy for a minimum of AUD 20,000,000. Please upload a copy of your public liability insurance policy to the upload via the exhibitor portal no later than 18 August 2025.

Should you not hold a current public liability insurance policy, valid in Australia, please contact the sponsorship and exhibition team at sponex@iac2025.org who can arrange coverage under our umbrella policy for $770 AUD inc. GST.

Catering #

The ICC Sydney has sole catering rights in all areas of the International Convention & Exhibition Centre, including on stand catering. Exhibitors can pre-order food and beverage services for their stands from Exhibitor Services.

Please note orders must be submitted to the ICC Sydney no later than 12 September 2025.

Onsite Meetings #

No. The ICC Sydney venue is at full tenancy for the IAC 2025 event. Alternatively, you may wish to reach out to surrounding hotels with meeting room facilities that may suit your needs. Our team at hello@iac2025.org is also available to assist with recommendations.

Accommodation #

Preferential rates have been negotiated for IAC 2025 at several hotels in Sydney conveniently located near ICC Sydney. Review your options Accommodation Page at our website. Group bookings should be made early to secure availability.

On-Stand Events #

Approval from the IAF is required for all on-stand events, including networking, presentations, or cocktail events. Submit the Application Form – On Stand Event as soon as possible to seek approval.
